Duties & Responsibilities

Recruitment & Onboarding                        

  • Conducting departmental needs analysis for respective clients’ vacancies.
  • Verify JD content.
  • Verify and confirm that advertisements for vacancies have been placed internally as well as externally.
  • Presenting shortlist to BU representative.
  • Ensure that the recruitment process runs per company policy, including achievement of EE targets, and is conducted in a professional manner.
  • Ensure that the Careers System is utilized effectively.
  • Attend interviews as part of panel as and when required.
  • Negotiate/ Issue offer of employment.
  • Preparation for onboarding day 1 with all relevant departments (IT etc.).
  • Monitoring the training of new recruits during probation period with the relevant line-managers in line with relevant company policy.
  • Monitor that probation meetings take place with formal minutes during the 3-month probation period in line with relevant company policy.

Remuneration 

  • Participate in creating a compensation guideline/ remuneration strategy, based on position, job grade and individual indicators, that matches Intercape culture .
  • Establish workforce planning, budgeting, and monitoring and headcount reporting for Exco/Manco (Cost of manpower review).
  • Design models for jobs evaluation, salary increases, special salary plans for high-potential and critical key personnel, among others.
  • Design compensation packages based on business goals and strategy.
  • Conduct salary and market research to define benchmarks.
  • Identification and implementation of monetary and non-monetary rewards
  • Remuneration review /annual adjustment process.
  • Monitoring of employee productivity rate to ensure the manpower strategy is more accurate.
  • Ensure that compensation practices comply with relevant legislation/governance.
  • Conduct periodic audits, prepare, and present reports/business cases.

Job Analysis & Evaluation           

  • Review organizational effectiveness to align strategic objectives with human capital investment.
  • Consult with relevant clients regarding departmental structures.
  • Assist with designing of competency framework.
  • Assist Line Managers with creating and updating of staff job descriptions.
  • Ensure an effective job evaluation (grading) process is followed, in line with the company’s EE Policy, using relevant methods in the market.

 Systems & Compliance                

  • Assist in the preparation and implementation of HRM system and recruitment system.
  • Assist with compiling and incorporating HR processes into HRM system.
  • Assist with the development of process flows within the HC department.
  • Manage the user rights of staff of the associated companies.
  • Assist with writing and reviewing of policies and procedures (annually) for HC Department.
  • Assist Business Units with the monitoring and decreasing of overtime and leave liability in respective departments.
  • Monthly analysis of payroll variance report for responsible business units, ensuring correctness and accuracy of payroll data for every monthly pay run.

General Administration

  • Manage the quality of files and information in the HC cabinet.
  • Ensure that all legally compliant documents are on file.
  • Ensure that information in files remain confidential.
  • Oversee that the file audit sheet is up to date and a correct reflection of what is in the files.
  • Oversee that all pension fund documentation, claims and fund administration is completed and finalized timeously.
  • Ensure that every employee is allocated to the correct leave approver and make changes where necessary.
  • Manage termination process including exit interviews and hand over according to the payroll procedures.
  • Assist with payroll and leave queries, as required.
  • Ensuring/Validating adherence to company policy with regard to leave types.
  • Ensure all changes in employment terms and conditions are done with the assistance of the IR Manager and are documented, signed off by the employee and filed.

Injury On Duty Management     

  • Oversee that IOD/Employers report of an accident forms are completed correctly by line managers.
  • Assist with general enquiries regarding IODs.
  • Analyze IOD reports provided by WCA and address specific areas of concern with line managers.
  • Manage the IOD process in order to minimize the cost to the employer.
  • Ensure that staff are trained and educated regarding the IOD process.

Employee Relations      

  • Facilitate grievance procedures and conflict within departments.
  • Advising and facilitating the application of IR practices and procedures and assisting with all related labour relations cases and administration.
  • Assist with appeal processes.
  • Guide and provide input on business unit restructures, organisational design elements and manage the organisational change.

Employee Wellness & Engagement        

  • Contribute to the development on the HC strategy and agenda to drive people solutions which enables business outcome.
  • Engage and partner with business unit to understand their needs to develop and implement integrated tactical and operational staff plans and HC solutions in response to business and staff challenges
  • Collaborate with various stakeholders to develop and implement initiatives aimed at optimising and managing organisational design, organisational effectiveness, employee engagement and retention.

Performance Management        

  • Compile and assist with the drafting and development of a performance management system within the company.
  • Compile and assist with the development of Personal Development Packs.
  • Assist managers with the implementation of the performance management process.
  • Advising managers on development plans and effective execution thereof.
  • Coordinating workshops, formal performance management sessions, one-on-ones, etc.

Project Management & Reporting          

  • Manage specific HC projects as per annual HC Strategy.
  • Partner with HC teams to deliver effective, efficient, integrated and value-added HC solutions to business in line with business needs.
  • Compile and submit weekly and monthly reports on all HC-related matters.
  • Attend weekly meeting with HC Team regarding HC Projects, implementing action plans and day-to-day operations.

Desired Experience & Qualification

Qualifications:

  • Grade 12
  • Bachelor’s Degree in HR or related field
  • Knowledge of and experience in HC practices and legislation
  • HRM system experience preferred

Experience

  • Minimum of 6 years HC Business Partner or HC advisory experience
  • Proven track record of delivering results in a fast-paced, high-growth organization.
  • Hands-on experience with end-to-end human capital processes within an operational setting.
  • Speaking of African languages required.
